POLICY, TERMS & CONDITIONS OF TRADE These policy, terms & conditions shall act as the basis of all transactions between Glow Studios Stationery & its clients or prospective clients. The manufacturer &/or service provider is Glow Studios, ABN 72 689 308 982 & where the words we, us, or our are used in this policy, terms and conditions of trade, will from herein be referred to as Glow Studios. Where the words you, your, client, or customer are used in this policy, terms & conditions of trade, will from herein be referred to as the consumer. 1.Privacy - Glow Studios are committed to ensuring that all your personal details & information, including your guest names & addresses are kept private & confidential. Under no circumstances will we provide your personal details to any third party except when we are required by law. Any information you reveal to us on our website is done knowingly & voluntarily at your own discretion. We at Glow Studios, will respond to all your enquiries & requests via the contact details you have supplied us. All personal information requested & collected by Glow Studios is deemed reasonably necessary in order to serve our business purposes. The Glow Studios website may contain illustrations & information from other non affiliated third party businesses not managed by Glow Studios, & takes no responsibility for your interest in their business, nor their privacy practices & content. 2.Copyright All designs remain the copyright of Glow Studios, & must not be reproduced without prior written consent & permission. All rights reserved. The reproduction of our designs in any form whatsoever is an infringement of the copyright law & is forbidden. We will not hesitate to take legal action against anyone found to be reproducing our designs without our consent. No part of this website may be reproduced in whole or part or stored without prior written consent and permission. Any infringement of these will be vigorously pursued. 3.Prices & Payment All prices are in AUD and include GST. All prices are subject to alteration without prior notice, however, all orders placed will guarantee the current price. A 50% deposit must be received within 7 days of placing your order. We accept payments by cheque, money order or direct deposit/AFT (automatic funds transfer). Personal cheques that are dishonoured will be brought to the attention of the customer & will incur a $25 fee payable immediately once notified. Initial deposit of 50% is required prior to any production commencement, with the final balance of 50% due on completion. Funds must be cleared, and all other processing fees must be fully paid for prior to dispatch of goods purchased. Please make cheques & money orders payable to: Glow Studios. Direct deposit details will only be released to customers requesting this payment option. Sorry no EFT or Credit facilities available. 4.Samples All samples are sent by standard post. Samples will be dispatched after receiving full payment. Allow 7-14 days for samples to arrive. Samples are not available for all designs. Sample orders are semi personalised, & are supplied in the colour displayed, unless agreed otherwise with prior arrangement of a variation. Invitation samples include separate inserts, however these inserts are optional from $1 each with orders. Samples are charged at $60 for the first choice & $35 each for the second & third choices, plus postage & handling. The cost of only the first sample will be credited towards future orders. 5.Minimum Orders We accept a minimum order of 30 invitations & a minimum order of 10 pieces per single stationery item. This also applies to additional orders placed after the initial order. It is recommended that you order extra pieces of each stationery item to avoid the expense of additional orders at a later date. 6.Proofs Upon receiving your deposit, a PDF file containing a set of black & white proofs will be supplied for your review & approval. All formats, text, wording & layouts need to be checked & examined thoroughly for correctness prior to printing. This is extremely important. Only one proof & one amendment proof will be provided free of charge, with additional proofs charged at $30 per proof. All proofs must be signed-off & returned before any production can commence. Glow Studios do not take responsibility for mistakes overlooked during this proofing stage. Any changes requested after commencement will incur additional costs. Proofs & artworks remain the property of Glow Studios & may be used for future advertising. 7.Guest Lists Guest names can be printed on invitations, save-the-date, place cards, perperson deluxe menu's & thank you cards at no extra cost. We advise that only ONE guest list be provided COMPLETE for printing, with each additional list supplied after the first list charged a further $30. A preferred template is provided for guest names & addresses. All guest lists that are supplied typed or handwritten on a piece of paper will incur a $30 set up fee. Addressing of invitation, save-the-date & thank you envelopes is charged at $1 each. RSVP envelopes include printing at no extra charge. Only guests first names will be printed on the insert, placecard & menu complimentary, bomboniere name tags may include guest first names on request, & are charged a further .50cents each. Surnames may be included on placecard or deluxe menu only, charged a further .50cents each. All text in the guest list must be typed as you wish for it to appear. Any mistakes incurred from the guest list is the responsibility of the customer. Additional names, amendments or changes to initial list will require submission of a new list. All re-prints are charged an additional $2 per item printed plus $50 administration fee. Glow Studios does not check your guest list, & does not provide proofs for this, so what you type is what gets printed. All spelling & numbers should be checked & correct before the information is sent to us. 8.Postage & Delivery When you have placed your order and we have received all the required information, allow 6-8 weeks for delivery. You will be notified when your goods will be dispatched. The shipping fee is $20, and packaging is $15, both charged upon placing your order. Additional deliveries made after the first delivery will incur an additional shipping fee of $15. All goods are sent by registered mail, via Australia Post, and will require a signature on arrival. It is your responsibility to ensure receipt of the parcel. Insurance is optional, and will be charged at $1.10 per $100 or part thereof. We take great care in packaging your stationery and as a result, once goods are dispatched, Glow Studios cannot be held liable for any loss, delay, damage, postal or charges (includes being caused by a third party), incorrect storage or handling. Express Post for urgent delivery can be requested, and additional postage costs will be advised and charged accordingly. Glow Studios will not guarantee delivery times, and advise that allowances be provided for unexpected delays when ordering. Any delivery and completion dates stated by Glow Studios are approximate only. Glow Studios will not be held responsible for late delivery of any order where client has failed to provide the required information on time. Glow Studios do not refund postage and delivery charges. All postage/shipping costs are subject to alteration without prior notice. 9.Product Pick-Up Where a client chooses to collect or pick-up their order, the $15 packaging fee only applies. Glow Studios will contact you via your details provided to arrange a suitable time for collection of goods. All goods are completely packaged ready for pick-up. The $20 shipping fee will not be credited to any order where promotional free delivery is offered, the packaging fee still applies with all promotions. 10.Design Variations All invitation designs that appear on our website are exclusive to Glow Studios & may be modified to suit our clients needs, by which we refer to as design variations. A design variation may involve any alteration, substitute, addition or deletion of a particular design, item, text or detail. This may include card shape, design layout, cardstock, cover texts, specialty papers, fabric, ribbon-(colour, size, or application), trims, crystals-(colour) or other embellishment. All design variations must be discussed via email or fax only, & approved by us prior to ordering. A design variation may or may not include a price increase, depending on what is required, in which the client will be advised of any changes. Samples of design variations are also available on request. In some cases ribbon swatches will be made available where a certain colour or size is not in stock at the time of ordering. 11.Text Variations Where variations of copy are required on the same item of stationery (eg. different reply dates on RSVP cards, or two invite wording layouts), a charge of $20 is incurred for each variation. 12.Errors & Extras No responsibility taken on behalf of Glow Studios for customer errors, incorrect choices, order quantities, or change of mind. Errors that are signed off through the proofing process are re-printed at your expense. Re-prints or additional extras are charged an additional $2 per item printed plus an administration fee of $50. It pays to have another person read your proofs thoroughly and completely before declaring it suitable for production - we cannot stress this enough! 13.Cancellations In the event that you may need to cancel your order we must charge cancellation fees to cover our costs. Cancellations must be confirmed in writing and will only be accepted within 24 hours of placing your order. In this case we will refund your money in full. Cancellations after the initial 24 hour period but within 7 days of ordering will incur a 50% administration fee. Cancellations due to out of stock will incur a 20% administration fee. After we have received your signed proofs we will begin full production of your order and therefore cannot refund your money because of the stock and labour costs involved. All cancellations are at the discretion of Glow Studios. Sample orders cannot be cancelled once payment is received. 14.Refunds We do not refund on printed stationery, however we are happy to exchange on unprinted stationery items within 7 days, of which an administration fee of 10% will be charged. Any refunds will be made at the discretion of Glow Studios. Delivery and postage costs will not be refunded. Where a refund has been granted due to cancellation, no part completed components will be released. Sample orders will not be refunded. 15.Finish Due to the supply of handmade items, slight variations may occur between stock, finishes & colours. Onscreen colours may appear different, depending on your monitor settings. Care is taken to produce items similar to those displayed, however in circumstances beyond our control they may be subject to alteration without prior notice. It is recommended that you purchase a sample prior to placing your order. 16.Stock All orders are subject to stock availability & Glow Studios aim only to accept orders due to this. Most of our designs are seasonal, of which is limited to avoid mass production. Upon ordering, all designs in our range are based on first-in best-dressed, even after receiving samples, there is no guarantee of stock. During the production process, you will be notified if delays arise so that changes to your order can be arranged if necessary. Furthermore, if any materials become out of stock or discontinued, Glow Studios will suggest alternate measures to complete the order. This may involve modifying the existing design, or reconstructing the design using a substitute product of a similar match, at no extra cost to the customer & within reason. If a design substitute is agreed upon, a sample of the replacement product will be provided at no extra charge. If it is found to be unacceptable to the customer & an alternate decision cannot be made, you are free to cancel your order at this time. However, a cancellation now will incur a 20% administration fee. All cancellations are at the discretion of Glow Studios. 17.Advance Bookings & Holding Stock - Early-bird bookings require a 50% non-refundable deposit to secure the availability of materials & stock required for your nominated design. Once deposit is paid, all stock will be allocated & stored for your order. 18.Ink All printing by laser printers. Athough we suggest several print colours, we highly recommend the use of ClassicBlack ink for the best possible results. No guarantee with consistency of coloured inks which may vary from one item to another. 19.Shortages & Defects So that we can rectify the problem immediately in the event of faults or shortages, we ask that you report them within 3 days of receiving your order. No such goods may be returned to us without prior approval, & shall be at the expense of the client in all circumstances. The successful rectification or resolution of any dispute shall not negate the obligation of the client to adhere to the original terms & conditions of trade. 20.Urgent Orders Please allow 6-8 weeks standard delivery time from the date proofs are approved & returned to us (proofs are usually supplied within 7 days from date of order). Orders required before the recommended 6-8 week period will be charged accordingly. High priority orders required between 4-6 weeks from the date proofs are returned are charged an additional fee of 15% of total order. Urgent orders required between 2-4 weeks from the date proofs are returned are charged an additional fee of 30% of total order. Glow Studios do not guarantee availability of stock where high priority or urgent orders apply.
